Why would I need one?
While you think your artwork is fine to be displayed or installed as is, you may inadvertently violate Fire Code or Health & Safety Code regulations, and in order to keep the campus in compliance, your work will be reported to your academic department for prompt abatement or even be dismantled.
Your instructor will validate the scope of your project, but it may not be enough! By filing a Contract, your proposal will be further reviewed in terms of execution, integrity, compliance, and damage or injury risks of your artwork. Think of it as insurance policy for your project!
Okay, so when and how will I need to file a Contract?
First, check the Artwork Installation / Presentation Guide (PDF) for directions, checklists, precautions, and some common mistakes.
Second, choose the Contract that ’s right for you:
- Exhibition & Facilities Use Contract (PDF) - for on campus exhibitions, installations, presentations, and performances
- Exhibition & Facilities Use Contract (Filming) (PDF) - for on-campus photography and filming projects
- Note: You can also use our checklist (PDF) to answer additional questions while preparing for photography or filming projects.
Last, fill-out, print, and sign the Contract, then collect signatures according to the listed directions. You WILL be held responsible to the terms of your Contract!
What if I need to reserve a room?
If students would like to use a room, studio, or gallery space inside any of the Otis College campus buildings, they must ask their respective academic department office to file a Room Reservation on their behalf (especially for filming or photography projects).
All Room Reservation requests will need approval by Registration or department office that manages booking of desired rooms/areas. Students will be held liable for any damage or loss to and from reserved areas. Reservations may take between 5 and 7 days for official approval!
If students would like to film or take pictures in open gallery spaces, they need to check first with corresponding academic department offices to ensure their desired time slot is available.
You keep mentioning ‘on-campus’… What if I take my artwork elsewhere?
Students may consider all possible means and venues to create and display their artwork in a course of completing their classes and degree programs. However, Otis College will not be able to approve or deny utilization of private or public spaces outside of any Otis College campus premises, and students will remain presumed liable for any non-complaint or unlawful activity, as well as any resulting injury or property damage.
