WebEx combines real-time presentations, chat, video, whiteboard, and desktop sharing with phone conferencing so everyone sees the same thing while you talk and/or discuss. It’s far more productive than emailing files and struggling to get everyone on the same page over the phone. It can also often eliminate the need for people to travel and meet on site. Otis College of Art and Design has a subscription to WebEx administered by the Operations and User Support Groups of Information Systems for use by all faculty and staff of the college.

What is WebEx?
WebEx is an easy way to share ideas with anyone, anywhere using the Internet and phone conferencing. Full conferencing is a combination of interactive web access to reports, presentations, and data and audio conferencing. If the interactive web component is not needed, then you can use the audio conferencing feature to create phone conferencing meetings. The Otis College subscription supports both features.
How do I schedule a full conference or audio conference?
The link below will take you to a WebEx Conference Request online form – please plan a head and give the Information Systems group at least three days notice to setup the conference for you. Simply fill out the form and submit it at the link provided below. A TrackIt work order will be generated for you. After the Information Systems team has set up the conference, you will receive an e-mail from a member of the Information Systems team with a host access code for you to use to start the conference. All attendees will receive an e-mail from WebEx (firstname.lastname@example.org) with their attendee access code along with instructions to attend the conference (see example below).
What is the cost?
The cost of using WebEx is based on the number of connections and length of the call. The average cost from WebEx is $0.05 per minute per person. If there are 6 people on a call for 30 minutes the cost would be around $9.00. This is just an example. Pricing will vary. The cost per minute will be more for those calling from an international number.
How do I use WebEx?
There is an online quick tour here that will give you an overview. If you have more questions please submit a TrackIt work order and someone from the Information Systems team will arrange to come and give you an overview in your office.
